Item Data 101 for Big Box Retailers 

The supply chain runs on data, which means tiny details can (and do) have a huge impact. Case in point: item data. 

Item data is the set of facts that describes a product well enough for a retailer to buy it, stock it, price it, and sell it. Retailers pull this data into their systems during item setup and then reuse it everywhere: purchase orders, distribution center receiving, shelf planning, product pages, etc.  

Wrong or incomplete item data can result in downstream problems fast, such as receiving delays due to mismatched barcodes and poor search rankings from thin product descriptions. With so much riding on item data, it’s no wonder big box retailers publish detailed item data specifications and increasingly score suppliers against them. 

From the warehouse management system (WMS) to the checkout screen, every supply chain process relies on item data. Accurate item data is critical to: 

While the specifics vary from retailer to retailer, most item data requirements can be broken into four different broad categories: 

For many products sold through major U.S. retailers, that means using a 

, the barcode-ready identifier issued through GS1. Walmart, Target, and most other big box retailers require GS1-registered GTINs before a purchase order can even be issued.  

There are two GTINs that are the most common in big box retailers in the United States: 

This category includes data regarding a product’s dimensions, weight, and configuration (case pack, pallet, etc.). These attributes determine how a product moves through a retailer’s distribution center. Retailers double-check physical and packaging data against what ships, and mismatches between the item record and the physical case are a common cause of shipment rejections and chargebacks. 

While every retailer will have its own detailed guidelines, products sold online or on a retailer’s app generally need the following: 

Big box retailers often evaluate content completeness because digital content affects search placement and product performance, which in turn affects the retailer’s bottom line. 

Products with a chemical, battery, or hazardous component typically need documentation through third-party systems before setup can finish. Country of origin, import status, and category-specific certifications are also collected during onboarding. 

Tips for Keeping Item Data Accurate Across Retailers 

Maintaining separate item records for every retailer, in every portal, is a situation that’s ripe for error. A few practices help suppliers keep item data consistent no matter how many retailers they sell to.  

Build the complete item record that everything flows from, including every attribute the widest set of retailers could ask for, rather than filling in only what one retailer's portal requires. It's easier to trim data for a specific retailer than to chase down missing attributes item by item.  

Sync Through the Global Data Synchronization Network (GDSN) Where It's Supported  

 is a global network that facilitates the exchange of standardized product data (e.g., weight, dimensions, GTIN, description) between trading partners, including suppliers and retailers. Built and governed by GS1 (the same organization behind GTINs), you can think of GDSN as the plumbing that allows this standardized product data to move throughout the supply chain.  

Item data issues can show up as downstream problems like chargebacks, shipping errors, and returns. Take the time to trace problems back to their source to avoid repeat issues.  

Does every retailer require a GS1 GTIN?  

Nearly all big box retailers require a GS1-registered GTIN before an item can be set up or ordered. GTINs are crucial for maintaining product consistency across ordering, receiving, and point of sale.  

What's the difference between a retailer portal and GDSN?  

, is where item data is entered or reviewed for that specific retailer. GDSN is a GS1-run network that lets a supplier publish item data once and have it sync automatically with every connected retailer.

Pallet, Packaging, and Labeling Standards for Industrial Goods 

A brake component, fastener, or hand tool can leave the same warehouse on three different shipping lanes. A pallet headed to a retail or maintenance, repair, and operations (MRO) distributor may need a barcode and tracking number that match the shipment data sent ahead of the load. A pallet going to an automotive original equipment manufacturer (OEM) or Tier 1 plant may need an 

 label format that matches the customer’s part-numbering and receiving requirements. If the shipment crosses a border on a wood pallet, the packaging must also meet applicable treatment and marking requirements. 

The product doesn’t change, but the requirements do. For industrial and automotive suppliers, packaging and labeling requirements depend on where the shipment is going, who will receive it, and, for international shipments, what materials are used to package it.  

Three requirements commonly come into play for industrial and automotive suppliers: 

The same stock-keeping unit (SKU) can therefore require different labeling or packaging treatment during the same week, depending on the customer and destination. 

The requirements vary by shipping lane, but the operational goal remains the same: 

keep the physical shipment and the data describing it aligned. 

Retail and MRO distributor warehouses commonly use GS1-128 barcode labeling to identify shipping units. Each pallet or case may carry a tracking number called an 

. The SSCC is an 18-digit identifier built from a company prefix, a serial reference, and a check digit. 

The SSCC needs to connect to the shipment information sent to the receiving customer in advance. That information is often provided through an advance ship notice (ASN). When the physical label and electronic shipment data don’t agree, the receiving process can be interrupted even when the product itself arrived in good condition. 

Labeling is one part of a distributor’s packaging requirements. Supplier guides can also specify pallet dimensions, maximum load weights, carton marking requirements, and other packaging details. 

Those requirements vary by distributor and can change over time. Suppliers building a specific shipping lane should double-check the current requirements in that customer’s supplier guide rather than relying on a general packaging summary. 

AIAG B-10 Automotive Label Requirements 

Automotive supply chains use a different labeling framework. 

 provides a standard for labels used on unit loads and transport packages moving between automotive trading partners. Individual OEMs and Tier suppliers can then add their own requirements through supplier manuals. 

An automotive supplier therefore needs to account for customer-specific labeling requirements when preparing a shipment. The underlying shipment information may be the same as information used for a retail order, while the required label format, data fields, and customer instructions can differ. 

Master, Container, and Mixed-Load Labels 

A published automotive supplier manual illustrates how these requirements can work in practice. 

, which is based on AIAG B-10, requires a Master Label on pallets containing identical parts. Two identical copies attach to adjacent sides of the pallet. The Master Label does not replace the individual container labels on the boxes underneath. 

Mixed-load pallets containing more than one part number have their own labeling requirements. 

For suppliers serving multiple customer types, the practical challenge is making sure the correct customer-specific label is generated from accurate shipment information. The same underlying data can support different physical labels across different shipping lanes. 

An export order can introduce a separate requirement that focuses on packaging material rather than barcode labeling. 

If a pallet, crate, or dunnage is made of wood, it can fall under 

. This phytosanitary standard addresses the international movement of wood packaging material. In the United States, the Animal and Plant Health Inspection Service (APHIS) oversees export requirements. 

Compliant wood packaging must receive an approved treatment, including heat treatment to a core temperature of 56 degrees Celsius for at least 30 minutes, or an approved fumigation treatment. It must then receive a permanent, legible mark from an appropriately accredited provider. 

 can be refused entry, required to be re-exported, or destroyed under supervision. 

Plastic and metal pallets fall outside ISPM 15 because the standard applies to wood packaging material. Material selection can therefore be another consideration for suppliers managing international shipping lanes. 

A pallet specification that works for a domestic shipment can create a problem at an international border if the wood packaging wasn’t treated and marked correctly. 

Across these shipping environments, the specific requirements change, but the operational challenge is similar: The physical shipment and its data need to stay aligned. 

A retail pallet can be delayed when its SSCC doesn’t correspond with the shipment data. An automotive container can be rejected when its label doesn’t meet the customer’s part-numbering or formatting requirements. An export shipment can be stopped when its wood packaging doesn’t carry the required treatment mark. 

These problems often begin before anything reaches the label printer. They can originate in item setup, packaging hierarchies attached to item records, customer-specific requirements, or the way shipment data is generated. 

For suppliers serving multiple types of customers, accurate item and shipment data becomes especially important. The same product information may feed different labels and shipping processes depending on the destination.

SPS Commerce does not manufacture pallets, treat wood, or determine a customer’s packaging specifications. It helps suppliers keep the data behind their shipping processes accurate and connected. 

Can the same product need different pallet labels depending on the customer? 

Yes. A retail or distributor order may require a GS1-128 label with an SSCC, while an automotive OEM or Tier supplier may require an AIAG B-10-based label that follows its own supplier specifications. The product stays the same, while the destination and customer requirements determine the applicable label. 

Does ISPM 15 apply to plastic or metal pallets? 

No. ISPM 15 applies to wood packaging material, including pallets, crates, skids, dunnage, and reels. Plastic and metal pallets fall outside the standard. 

What happens if a shipment arrives with noncompliant wood packaging? 

Depending on the destination and applicable requirements, customs authorities can refuse entry, require the noncompliant material to be re-exported, or have it destroyed under supervision. A pallet that meets domestic requirements can still create a problem when used for an international shipment. 

Who sets automotive labeling requirements if AIAG B-10 is the base standard? 

AIAG B-10 provides the foundation for automotive trading-partner labels, while individual OEMs and Tier suppliers can add requirements through their supplier manuals. Those requirements can cover details such as Master Label placement, container labels, and mixed-load formatting. 

Keep Shipment Data in Sync Across Every Lane 

Industrial and automotive suppliers rarely ship into just one kind of destination. A single supplier may need to support retail and distributor labeling, automotive customer requirements, and international packaging regulations at the same time.

Les fournisseurs qui gèrent l’EDI de leurs distributeurs européens via 

bénéficient d’un signalement automatique des exceptions DESADV sur l’ensemble de leurs comptes en temps réel. Les problèmes remontent ainsi en octobre, quand il est encore possible de les résoudre, plutôt qu’à la mi-novembre, quand ce n’est plus le cas.

Verrouillez vos engagements de taux de service avant que votre acheteur ne le fasse pour vous

Les capacités d’entreposage ou les délais de production qui ont évolué depuis la dernière discussion avec l’acheteur doivent être signalés maintenant. Un distributeur qui apprend une contrainte de capacité fin novembre n’a plus aucune option viable. La même conversation menée début octobre laisse aux deux parties le temps de négocier une position révisée avant que les commandes ne soient passées et les engagements verrouillés.

Distinguez vos plans de volumes Black Friday et Noël

Traiter le Golden Quarter comme un seul horizon de planification crée des angles morts. Le Black Friday exige une livraison promotionnelle à fort volume sur une fenêtre concentrée de trois à cinq jours. La demande de Noël monte plus progressivement sur quatre semaines, culmine nettement la semaine du 22 décembre, puis s’arrête. Les fournisseurs de l’alimentaire voient généralement les volumes de Noël dépasser largement ceux du Black Friday. Chaque fenêtre nécessite sa propre position de stock confirmée, son alignement du planning de production et sa validation des délais d’approvisionnement.

Vérifiez la précision de vos DESADV des 60 derniers jours avant la fin octobre

Les schémas d’erreurs dans la documentation d’expédition qui sont tolérables à faible volume deviennent des événements générateurs de pénalités à fort volume. 3PL Selection Checklist: What New Brands Need To Score Before Signing

When you sign with a 3PL, they handle the physical work of storing and shipping your product, but the retailer will still hold you accountable when something goes wrong. If an order ships late or a shipping notice doesn't match what actually went out, the retailer's chargeback goes to you, not to your 3PL.  

Score Accountability and Data Capability Before You Sign 

Accountability and data capability determine whether you know what's happening to your inventory once it's in someone else's warehouse or whether you find out only after a problem reaches your retailer. Score each 3PL candidate on these questions: 

 added a 3PL for its Walmart business and automated data flow between the two systems, eliminating manual entry on more than $5 million in annual orders and cutting the chargebacks that used to arrive months after the fact with no record to dispute them. Score each candidate 1 to 5 on the four questions above before moving to fees. 

Audit the Fee Schedule Before You Compare Quotes 

Sales conversations tend to cover the base rate. Invoices tend to include the fees that weren't mentioned in that conversation, like accessorial charges for oversized items or extra handling on returns.  

Use the table below as a template: leave it blank for now, then fill in a fresh copy for every quote you get, using the provider's actual rate sheet rather than their summary pitch. 

Liability caps, shrinkage allowances, and contract termination clauses vary by provider and carry real financial exposure. Take those specific terms to your own counsel before signing, the same way you would with any vendor contract.

Confirm These EDI Capabilities on the Call 

If a 3PL can't exchange shipping and inventory data with your systems electronically, someone on your team will end up re-entering that data by hand, which is slower and more error-prone, and the errors are what generate retailer chargebacks. Ask a first-time buyer's version of these directly, and expect a yes or no, not a maybe: 

If a provider says no to any of these, ask what they do instead. A common answer is manual data entry by their staff, which reintroduces the same error risk you're trying to eliminate. Ask who is responsible for catching those errors before they reach your retailer. 

Check Who Owns the 3PL, and What Happens if They Sell 

This criterion is missing from most vetting checklists, and it matters more this year than in past cycles. According to 

, 3PL merger and acquisition activity is up 20% year over year, and the top nine 3PL companies now control roughly half of total market share. Two of 2026's largest deals illustrate why: Thoma Bravo's roughly $5 billion acquisition of WWEX Group, merged into its Auctane logistics-technology platform, and Echo Global Logistics' acquisition of ITS Logistics, creating a combined platform with an estimated $5.2 billion in pro forma revenue. That matters to you because the 3PL you sign with can become part of a different company within twelve months. When that happens, your account may move to a new team, your pricing may be renegotiated, or the technology features you were relying on may get deprioritized in favor of integrating with the acquirer's systems. Before you sign, ask directly: What happens to my account if you're acquired? Who owns the roadmap for the systems I'm relying on? Has this happened to you before, and how did it go for your existing clients? 

Score Your Options With a Simple Weighted Rubric 

Once you have three to five quotes, assign each criterion a weight from 1 to 5 based on how much it matters to your business, score every candidate 1 to 5 on that criterion, then multiply the weight by the score to get the weighted score for that row. 

A high total score doesn't automatically make a candidate the right choice. If one candidate scores very low on a criterion that's non-negotiable for your business, such as EDI capability for a retailer that requires it, that low score should rule them out regardless of how the total compares to other candidates. 

Should I switch 3PLs if my current one can't pass this checklist? 

Not automatically. Score your current provider the same way you'd score a new one. If the gaps are in areas like EDI capability or fee transparency, and those gaps stem from something fixable, like a setting your current provider hasn't turned on, raise it directly before assuming a switch is necessary. 

How much weight should ownership stability get in the scoring rubric? 

There's no universal number. A brand that depends on a 3PL's proprietary technology, such as a custom inventory dashboard, should weight ownership stability higher than a brand using the 3PL mainly for basic storage and pick and pack, where switching providers later would be less disruptive. 

Ready to Keep the Data Moving After You Sign? 

Whichever 3PL scores highest on your rubric, that score only holds up if the data connecting your systems, your 3PL, and your retailers stays accurate as your order volume grows.

Operational Readiness Checklist for New Retail Partners

A new retail partnership is likely to begin with a signed agreement, but operational readiness will really determine what happens next. Most 

 only focus on getting the account connected: EDI is configured, item information is submitted, transactions are tested, and the technical pieces move into production.

The electronic record must match both the physical product and the way it moves through the supply chain. Before the first order ships, the product, the data, the systems, and the physical operation need to tell the same story. 

A useful way to organize readiness is around three layers. 

Can the technology execute the order correctly? POs, 

, and invoices need to move accurately through the technology stack. 

Can the physical operation execute what the systems describe? Inventory, labor, 

, and transportation need to turn those transactions into a compliant shipment. 

Can the business sustain the process? Ownership, SOPs, monitoring, and exception management determine whether the account continues to operate effectively after launch.

The Eight Stage Operational Readiness Checklist for Retail Onboarding 

The three layers establish what needs to work together. The next step is testing whether each part of the operation is ready for a live order. The eight stages below move through that process from retailer requirements and item data to fulfillment, finance, and ongoing ownership. 

1. Retailer Requirements Are Documented and Owned 

Before configuring systems or changing warehouse processes, translate the retailer's requirements into an internal operating plan. 

A routing requirement can affect customer service, EDI onboarding, warehouse operations, transportation, and accounts receivable. Each function needs to understand what is required and who owns it.

 Build a retailer requirements matrix that maps each major requirement to the affected process, system, owner, and validation method. This turns the routing guide into a working operational control. 

The product recorded in the supplier's system needs to accurately represent the product the retailer receives. Small discrepancies in case quantities, dimensions, identifiers, or pack hierarchy can travel through multiple downstream processes before anyone notices them. 

Operational test: Run a physical-to-digital audit.

Place a production-ready unit and shipping case beside the corresponding digital records. Compare the physical product against the ERP, WMS, retailer portal, and catalog record, including UPC, quantity, dimensions, weight, pack hierarchy, and labeling. 

A side-by-side review can catch discrepancies that an item-master review alone may miss. 

A live EDI connection confirms connectivity. It doesn’t necessarily prove that the business process works correctly. 

Before go-live, test the process from start to finish. Make sure each required document moves through the right systems, the information comes through correctly, and the team knows what to do if something goes wrong. 

Operational test: Run an order-to-cash dress rehearsal.

Testing a transaction is different from testing a workflow. An 856 can be transmitted successfully while carrying incorrect shipment information. 

Run a representative SKU through the complete process: 

PO received → order created → picked and packed → label generated → ASN transmitted → shipment tendered → delivery confirmed → invoice transmitted.

The objective is to confirm that information remains accurate as the order moves between systems, teams, and physical processes. 

4. Warehouse Execution Matches the Electronic Record 

The warehouse is where digital readiness becomes physical execution. Labels, cartons, pallets, and shipment contents need to match the electronic information sent to the retailer. 

Operational test: Scan the finished shipment.

Build a representative carton or pallet, print the production label using the equipment that will be used after launch, apply it correctly, and scan it with warehouse equipment. 

Approving a label on a screen cannot test print quality, physical placement, scanner readability, or whether the finished shipment matches the ASN. 

5. Transportation Is Ready Before the First PO Arrives 

Transportation planning should happen before the first order ships. Make sure carrier requirements, delivery appointments, and shipping windows are understood ahead of time so the team isn’t working through them for the first time with an order already on the road. 

Before the first shipment leaves the dock, confirm: 

The transportation team should be able to explain how the first shipment will move from dock to retailer without relying on information that still needs to be found after the order arrives. 

6. Inventory and Capacity Can Support the Retailer 

Operational readiness ensures that the following are in place beyond just winning the account:

Test every connection before October, not during November

Any retail relationship started in the last six months needs a live, tested EDI connection before peak purchase orders begin arriving. A broken DESADV discovered in the second week of November leaves no time to rebuild before Black Friday. Suppliers working through a managed network have DESADV formats and order acknowledgement requirements already specified and validated centrally. The task is confirming the connection is active and processing correctly, not rebuilding the spec from scratch under time pressure.

Lock in fill rate commitments before your buyer does it for you

Warehouse capacity or production lead times that have changed since the last buyer conversation need to be raised now. A retailer who hears about a capacity constraint in late November has no viable options remaining. The same conversation in early October gives both sides time to negotiate a revised position before orders are placed and commitments are locked.
